2. The legal basis and purpose of processing personal data

KWH Freeze processes personal data for the following purposes:

  •    Co-operation with partners and service providers
    • As the legal basis of a legitimate interest in conducting business
  •   Fulfilling client contracts
    • As the legal basis of a legitimate interest in conducting business
  •    Video surveillance
    • As the legal basis of a legitimate interest in protecting the safety of employees and company assets.
  •    Processing job applications
    • As the legal basis of a legitimate interest in conducting business
  • Carrying out customer satisfaction questionnaires
    • As the legal basis of a legitimate interest in conducting business

3. Data subject groups and personal data processed

The video surveillance system processes moving images of persons working or visiting the KWH premises.

As regards job applications and their processing there is no specific list of personal data, instead the applicant writes an informal application that allows them to choose what information they will give.

The contact information of a client company’s personnel will be processed. The contact information of a partner company’s personnel will be processed, and if a work assignment so requires also other information will be processed. In that case we will inform the data subject about the processing.

When handling customer satisfaction questionnaires names and email addresses will be processed.

Personal data will not be used to profiling or automatic decision making.

4. How will personal data be obtained?

Personal data will be obtained directly form the data subject or their employer.

5. Recipients of personal data

In some cases concerning recruitment of personnel KWH Freeze will disclose employees’ data to a recruitment partner to be used in a particular recruitment process.

Suppliers of information systems and other information technology partners will either maintain information systems or if necessary will obtain access to the systems thus gaining access to personal data.

Personal data will not be disclosed to areas outside the EU or ETA. Personal data of persons with certain work responsibilities in partner companies may be transferred to the United States according to the Privacy Shield agreement. In that case we will inform the data subject about the transfer.

6. Retention period of personal data

Job applications are removed at the latest 2 years after the end of recruitment process.

The retention period of personal data of partner companies’ personnel depends on the person’s work responsibilities. The data subject will be informed about these periods.

Data from the video surveillance system will be stored for two months unless a longer retention period is justifiable due the purpose of use in some individual cases.

7. Rights of the data subject

As regards their own personal data and acknowledging the limitations by the data protection regulation and other laws the data subject has the following rights:

  •    Access their personal data
  •    Rectify their data
  •    Remove their data
  •    Limit the processing
  •    Object to the processing of their personal data
  •    Transfer their data from a system to another

If the processing of the data subject’s personal data is based on the data subject’s consent they have at any time the right to withdraw their consent by contacting KWH Freeze at tietosuoja@kwhfreeze.fi.

If the data subject deems that the processing of their personal data breaches the EU’s General Data Protection Regulation they have the right to lodge a complaint with the supervisory authority in the member state of their permanent residence or working place or where the alleged breach of the General Data Protection Regulation has occurred. This right does not limit other administrative or judiciary remedies.
